Join Our Team as a Legal Billing Operations Analyst at Axiom
Location: San Jose, CA or Culver City, CA; On-Site 5 DPW
We are seeking a Legal Billing Operations Analyst to support our client, a large technology company. In this role, you will coordinate critical workflows across the outside counsel lifecycle, including vendor onboarding, outside counsel terms, timekeeper and rate management, legal billing administration, and Third-Party Associate engagements. You will work closely with Legal, Finance, Procurement, Information Security, and external law firms to ensure requests move efficiently from intake through completion, systems and records remain accurate, and issues are appropriately resolved or escalated.
Responsibilities:
- Manage outside counsel onboarding requests from intake through completion, coordinating with Legal, Procurement, Finance, Information Security, and external law firms.
- Facilitate outside counsel terms, engagement documentation, information security assessments, rate reviews and approvals, and required vendor and compliance documentation.
- Review matter-specific engagement letters for alignment with established Legal policies and requirements, coordinating execution and escalating exceptions or legal questions as appropriate.
- Manage timekeeper and rate workflows, including reviewing requests, obtaining approvals, supporting rate adjustment reviews and negotiations, resolving discrepancies, and maintaining accurate billing records.
- Coordinate Third-Party Associate and secondment engagements, communicating documentation requirements, approvals, actions, and deadlines and monitoring requests through completion.
- Maintain accurate onboarding, vendor, contract, billing, timekeeper, rate, and engagement records across relevant systems, trackers, and the Global Legal Roster.
- Monitor workflows for outstanding items and bottlenecks, proactively follow up with stakeholders, and identify recurring issues and opportunities for process improvement.
Qualifications:
- Bachelor’s degree or equivalent professional experience.
- 5+ years of experience in legal operations, legal billing, vendor management, finance operations, procurement, contract administration, or a related operational function.
- Experience working in a large, global corporate legal department, law firm, or professional-services environment.
- Strong organizational and workflow-management skills, with the ability to manage multiple priorities and deadlines in a fast-paced, global environment.
- Exceptional attention to detail, commitment to data accuracy, and sound judgment when determining when issues require escalation.
- Experience reviewing law firm engagement letters or supporting contract administration.
Preferred Skills:
- Experience with legal e-billing, legal spend management, vendor management, or workflow platforms.
- Technology fluency, including the ability to leverage emerging AI capabilities to modernize vendor management.
- Experience identifying and implementing process or workflow improvements.
Compensation:
The estimated total compensation for full-time Axiom attorney roles is $104,500-325,000 per year and for non-attorney roles is $71,250-309,750 per year. Compensation decisions are based on various factors, including, but not limited to, experience, skills, certifications, location, and business needs.
